Assembly Coordinator

LOCATION: 

Hudson, WI 

This position is offered as a Full-time position.

SUMMARY:

The Assembly Coordinator oversees and actively participates in assembly and mailing projects, ensuring accurate, compliant kitting and fulfillment of shelf-stable, refrigerated, and frozen products. Plans and adjusts workflows to maintain efficiency, balance workloads, and meet client deadlines while upholding safety and quality standards.

 

ESSENTIAL FUNCTIONS:

•    Assign duties and examines work for exactness, neatness, and conformance to specifications and procedures

•    Assist assembly staff for timely completion of jobs

•    Order project packaging components

•    For projects, adjust inventory and generate pack slips

•    Document expenses incurred in producing a project

•    Prepare time, material, and postage quotes

•    Coordinate daily mail pick-up / delivery, recording postage costs per client

•    Prepare USPS mail documents

•    Study and standardize procedures to improve efficiency; address errors and complaints; resolve problems; provide solutions for process improvements

•    Monitor time performed on projects, compare output against project estimates

•    Accurately record billable time

•    Oversee and participate in frozen and refrigerated kitting projects, ensuring accuracy and efficiency in assembly.

•    Perform repacking of bulk products into sample sizes (refrigerated, frozen, and shelf-stable) in accordance with

client specifications

•    Inspect, weigh, and document all repacked and kitted items to maintain quality and regulatory standards.

•    Maintain accurate inventory records by tracking usage, waste, and product movement throughout repack and fulfillment processes.

•    Ensure adherence to Good Manufacturing Practices (GMP), SQF protocols, and company SOPs to minimize contamination risk.

 

GENERAL SUPPORT:

•    Provide general support to other departments as needed, demonstrating flexibility and adaptability.

•    Contribute to continuous improvement efforts within the operations department.

•    Maintain open and effective communication with team members to ensure tasks are completed efficiently.

 

QUALIFICATIONS:

•    Degree in related field preferred; five or more years of related experience and/or training; or equivalent combination of education and experience.

•    Working knowledge of U.S. Postal Service (USPS) regulations and mailing standards, with ability to apply them to ensure compliant mailings.

•    Proficiency with postal software systems such as USPS PostalOne!, Endicia, BCC, or Pitney Bowes to process and track projects.

•    Experience in mailroom operations, fulfillment centers, direct mail marketing, or logistics environments preferred.

•    Intermediate Level experience with Microsoft Office Suite.

•    Ability to prepare and interpret routine reports and documentation, correspond effectively in writing and verbally, and collaborate with individuals across various departments and organizational levels.

•    Basic math skills, including the ability to add, subtract, multiply, divide, and work with simple calculations such as percentages and measurements.

•    Ability to identify and resolve issues, follow detailed instructions, and accurately assemble kits and products according to client specifications, while managing multiple materials, components, and tasks within the workflow.

 

WORKING CONDITIONS:

•    Standing:  50% of a day        

•    Seated:  50% of a day

•    Bending/Stooping:   25% of a day

•    Climbing:  10% of a day

•    Reaching Overhead:  15% of a day

•    Repetitive Motion:  10% of a day

•    Use of both hands:  100% of a day

•    Static and Frequent Gripping:  5% of a day

•    Lifting:  30% of a day up to 25lbs and 5% of a day up to 50lbs 

 

WORK ENVIRONMENT:

•    Normal Conditions:  100% of a day (Occasionally exposed to wet and/or humid conditions; extreme cold or freezer conditions)

 

PPE REQUIRED:

•    Closed toe shoes

•    Clean room PPE will be provided

 

WORK HOURS:

Full-time role, averaging 40 hours per week. The standard schedule is Monday through Friday, with occasional overtime or adjusted hours based on project deadlines.

•    $20.00 - $22.00 an hour depending on experience.
